From fully reactive to fully automated, a construction company's preventative maintenance transformation.

The situation:
When this client came to us, their maintenance program was entirely reactive. They had GeoTab deployed across their fleet and were getting value from it for tracking and compliance, but none of that data was connected to maintenance. Work orders were created after something broke. Preventative maintenance wasn't happening in any structured way. Inspections were inconsistent, and there was no central system tracking asset health.

What we built:
We evaluated several CMMS platforms and recommended MaintainX for its mobile-first design and ease of adoption across a large, distributed workforce. Then we got to work.

We set up over 500 assets in MaintainX and mapped 60+ fleet vehicles and equipment units from GeoTab, including semi-trucks, construction equipment, and agriculture machinery. The integration pulls engine odometer readings, engine hours, and engine diagnostics from GeoTab on a continuous basis and syncs that data to MaintainX Meters for each asset.

Those meters drive everything. When an asset hits a service interval, whether it's 250 hours, 500 miles, or a custom threshold, MaintainX automatically generates a preventative maintenance work order and routes it to the appropriate team.

For the remaining 440+ assets not connected to GeoTab, We created manufacturer specific API connections to obtain telematics where possible. We connected to Kubota excavators, John Deere bulldozers, Caterpillar rollers, Bobcat mini-skids, Vermeer directional drills and many more construction, agriculture. and off-highway assets.

For those without telematics or available API connections, we built a mobile meter-reading workflow. Their 100+ operators, supervisors, and managers now record meter readings directly from their phones. They also complete pre and post-operation inspections through MaintainX, submitting any identified maintenance or repair items in real time from the field.

The result:
